Terms of use
This is a translation. Only the German version is binding: www.chor-portal.ch/de/terms
Last updated: 1 November 2026
The key points
- A choir can try Chor-Portal for free for the first months. After that it automatically becomes a paid subscription. If you don’t want that, delete the choir before the free months end.
- The subscription costs a fixed amount per year. How much depends on how many active members the choir has.
- The invoice comes once a year, 30 days before the new subscription year begins.
- If an invoice hasn’t been paid one month after it’s due, the members can still look at the choir but can’t change anything until it’s paid.
- You may only upload sheet music, recordings and other files you are allowed to share.
- You can delete the choir at any time. An invoice you have already received still has to be paid.
1. What this is about and who the parties are
Chor-Portal is a program on the internet that choirs use to manage their members, events, absences, songs, polls, documents and choir duties.
These terms of use are an agreement between your choir and Chor-Portal, that is, the operator of Chor-Portal. Who the operator is and how to reach them is in the legal notice: www.chor-portal.ch/en/imprint
The person who owns the choir in the portal (the owner) accepts them for the whole choir. When a choir is started, that’s the person who starts it. In doing so, they confirm:
- that they are at least 18 years old,
- that they are allowed to accept for the choir, and
- that their details are correct.
If your choir isn’t an association: if your choir isn’t a legal entity, for example a project choir or a loose group without statutes, the person who accepts is our contracting party themselves. They then also owe the subscription.
The privacy policy also applies: www.chor-portal.ch/en/privacy
2. Account and choir
Account: anyone who wants to take part in the portal needs an account with their own e-mail address. Each person has only one account, even if they sing in several choirs. An account is personal and must not be shared with others. Anyone under 18 gives the e-mail address of a parent or guardian when creating the account.
Starting a choir: whoever starts a choir must be at least 18 years old and becomes its owner and admin. By starting the choir, the person confirms that their date of birth and their other details are correct. If someone has given false details, we may lock the choir until an adult from the choir takes over the owner role.
Roles in the choir:
- Admins run the choir in the portal: they admit members, grant permissions and change the settings.
- The owner is a single person. Only they can delete the choir and hand this role over to someone else.
- The contact person is named on everything the choir sends out.
- The billing address is the person the invoices go to.
The choir makes sure these roles are always filled. Whoever has one of them hands it over before leaving. If a choir has no admin any more, we appoint someone at the choir’s request.
3. What Chor-Portal offers
Everything Chor-Portal can do is on our website www.chor-portal.ch. We keep developing the portal. Features may be added, change or be removed. If something important is removed, we tell you beforehand.
We make sure the portal is available as much as possible. We can’t promise, however, that it will never be interrupted, for example during maintenance or outages that aren’t our fault. We do larger maintenance work at quiet times where possible, and announce it.
We make backups every day. You should still keep important files on your side too.
4. Free start
Every new choir can first use Chor-Portal for free for a while, with all features. How long is on our website at www.chor-portal.ch/en/#pricing and when starting the choir.
At the end of the free months, it automatically becomes a paid subscription. You don’t have to do anything for this and won’t be asked again. The choir is placed in the tier that fits its number of active members and gets its first annual invoice.
One week before the end, we send the admins an e-mail. If you don’t want a subscription, delete the choir before the free months end. Then it costs nothing.
5. Subscription and prices
The subscription runs for one year at a time and renews itself for another year until you delete the choir. The first subscription year begins on the day after the free months.
What it costs depends on the number of active members. There are several tiers. Which ones there are and what they cost is on our website at www.chor-portal.ch/en/#pricing and in the portal under “Subscription & invoices”. Members who are paused, trying out or have left don’t count. All active members count the same, whatever their role.
If the choir grows: if the choir has more active members than its tier allows for, it automatically moves to the next tier. The admins get an e-mail about it. In the current subscription year this costs nothing extra. The new price applies from the next annual invoice.
If the choir gets smaller: once a year, when we write the annual invoice, we check whether a lower tier fits. If so, the choir then moves to the lower tier. During the year we don’t move down, and we don’t refund anything.
Price changes: if we change the prices, the new price applies from the next annual invoice we write after that. Invoices already written don’t change. We announce a price increase at least 60 days beforehand by e-mail to the admins. If you don’t agree, you can delete the choir before then.
The prices are final prices. We are not registered for VAT.
6. Storage for files
Every choir has a certain amount of storage for free. How much, and what additional storage costs, is on our website at www.chor-portal.ch/en/#pricing and in the portal under “Subscription & invoices”.
If the storage is full: before a file is uploaded, the portal checks whether there’s still room for it. If it no longer fits, it isn’t uploaded, and you see how much space is still free. What’s already there stays. The admins get an e-mail before the storage is full.
More storage: if you switch on under “Subscription & invoices” that the storage grows automatically, more storage is added when needed, in fixed blocks up to the limit you choose. We charge the additional blocks with the next annual invoice.
The highest level in the subscription year is charged. If you need an additional block in March and delete the files again in November, you still pay for the block for that year. The space was ready for you all year.
During the free months, the storage doesn’t grow automatically.
7. Invoice and payment
- 60 days before the new subscription year begins, we remind the billing addresses by e-mail that the subscription is renewing and when the invoice will come.
- The annual invoice comes 30 days before the new subscription year begins, by e-mail to the choir’s billing address, with a QR payment slip.
- It’s due on the first day of the subscription year.
- The annual amount is paid in full. There are no partial payments. An amount that doesn’t match the invoice doesn’t count as part of the payment. We transfer it back to the account it came from, and the invoice stays open. You don’t need to get in touch about it. If we don’t have the account number, for example for a payment at a post office counter, we contact you.
- If the invoice isn’t paid, we send a reminder on the due date and one week before the lock.
- One month after the due date, the choir is locked, if the invoice is still open by then. The members can still look at the choir and download lists, sheet music and other files, but can’t change anything any more. As soon as the payment has reached us, the choir is open again. Nothing is lost.
- A locked choir stays locked until the invoice is paid. We don’t delete it because of this. If it’s still locked after a year, we get in touch with the admins.
- Years we didn’t charge by mistake, we don’t charge automatically afterwards. If this happens, we get in touch with you.
- The choir makes sure the billing address is correct.
8. Discounts
Sometimes we give a choir a discount, for example with a code.
- A choir always has at most one discount. A new code replaces the previous one. Whatever was left of the previous one is lost.
- A discount only reduces the subscription, not the additional storage.
- It applies from the next invoice that hasn’t been written yet, never retroactively.
- How long it lasts is counted in subscription years from the first invoice it reduces.
- We may cancel a discount. What it has already reduced stays reduced.
9. What you upload and enter
We don’t get any rights to your content. What you upload or enter, we only store so you can use it in the portal.
You are responsible for being allowed to upload and share in the choir what you upload. This applies in particular to:
- Sheet music: a lot of sheet music is protected by copyright. Bought sheet music usually may not simply be copied and handed out to everyone. Before uploading, check whether you are allowed to, for example because the music is free, you have bought enough copies or the publisher allows it.
- Recordings: the same applies to recordings by professionals or from CDs. Even with your own rehearsal recordings, the piece can be protected.
- Photos and recordings of people: ask the people first, and for children the parents.
If someone tells us that content infringes rights or breaks the law, we may block or delete it. We tell the choir.
For performances and concerts, the usual rules apply, for example reporting to SUISA. Chor-Portal has nothing to do with that.
10. What isn’t allowed
In the portal, the following isn’t allowed:
- content that breaks the law, insults, threatens or discriminates
- advertising or mass e-mails to people who don’t want them
- using another person’s account or trying to get at other people’s data
- attacking the portal, deliberately overloading it or reading it automatically with programs
- uploading malware
If someone breaks these rules, we may delete the content and lock or delete the account. In serious cases we may lock the choir. Where possible, we talk to the choir first. If we suspect a crime, we report it to the police.
11. Data and data protection
How we handle personal data is in the privacy policy. It also contains what we promise the choir, because we process the choir’s data on its behalf (section 20 of the privacy policy). With these terms of use, this applies between your choir and us.
12. Deleting the choir and end of the agreement
You can delete the choir at any time. Only the owner can do this, under “Choir settings” in the danger zone. This ends the agreement.
- What happens to the data is in the privacy policy (section 19): for 30 days we can still restore the choir, after that everything is deleted. Download beforehand what you want to keep.
- We don’t refund annual fees already paid, not even in part.
- Invoices you have already received when you delete the choir must be paid. The annual invoice comes 30 days before the new subscription year begins, and we remind you 60 days before. So if you don’t want another year, delete the choir before the invoice comes.
If we end the agreement:
- If a choir seriously or repeatedly breaks these terms of use, we may lock the choir and end the agreement. We tell the admins and then give you 30 days to download your data before we delete the choir. This doesn’t apply to content that breaks the law: we don’t hand that out any more.
- If we shut Chor-Portal down completely, we tell you at least 6 months beforehand so you can download your data. What you have already paid for the time after that, we refund pro rata.
13. Liability
We do our best to make sure Chor-Portal runs reliably and your data is safe.
We are liable for damage we cause intentionally or through gross negligence. We are not liable for slight negligence.
This also applies if the portal isn’t available. We are not liable for content that choirs or members upload.
14. If these terms of use change
If we change these terms of use, we send the admins an e-mail 30 days beforehand saying what changes. The next time the portal is opened, it shows the owner the new version to confirm. If they don’t confirm and the choir carries on, the new version is deemed accepted 30 days after the e-mail. If you don’t agree, you can delete the choir. For price increases, the longer period from section 5 applies.
15. Other provisions
- Swiss law applies.
- The place of jurisdiction is the place where the operator of Chor-Portal has its registered office or residence. Who the operator is and where is in the legal notice.
- If part of these terms of use is invalid, the rest still applies.
